sales administrative assistant

The Sales Administrative Assistant will report directly to the VP of Sales and will perform the following tasks:

  • Support VP Sales in logistical aspects of the Sales Department
  • Attend to customer issues and questions and route to relevant entity
  • Perform data entry including purchase orders, price and item lists, UPCs, etc.
  • Update all sales documents and track purchase orders
  • Act as the logistical liaison between independent customers and various departments within the company
  • Work with managers to assess the proper communication to customers for any product delays and updates
  • Coordinate all paperwork requested by customers such as new customer forms, item set up sheets, product certifications, etc.
  • Assist in sales presentations by compiling and organizing available data
  • Compile and prepare sales samples for meetings and or trade shows
  • Monitor customer websites for proper representation of images, pricing, and descriptions
  • Handle sample requests. Arrange shipments and provide tracking and notification customers
  • Work at trade shows
  • Interface with external sales representatives
  • Plan travel arrangements, trade show particulars, off-site meetings and other events

Job Requirements:

  • Bachelor’s degree from an accredited four-year college or university
  • Minimum 2 years’ experience in similar position
  • Detail-oriented and highly organized
  • Excellent communication and customer service skills in person, over the phone, and in writing
  • Highly proficient in MS Office – Word, Excel, PowerPoint and Outlook
  • Sense of urgency in approach to managing workload
  • Self-starter; highly resourceful and hard-working
  • Proactive in finding solutions to problems
  • Good at time management and juggling multiple tasks simultaneously, and working under pressure
  • Team-oriented
